Business rekeying after keys are not returned

Start with an access inventory: which doors the missing key operates, who still needs entry and which electronic credentials exist separately. A focused rekey plan can change the affected mechanical access while preserving access that should remain independent.

Identify the affected doors

List exterior entrances, offices, storage and any restricted rooms. A single key might operate several areas, especially in an existing master-key system. Ask the responsible manager to confirm the intended access levels before work is scheduled.

Coordinate the operational handover

Choose a time when an authorized person can approve work and distribute replacement keys. Plan for opening and closing staff, vendors and emergency access arrangements. A lock change without a key handover can interrupt the next shift.

Track digital access separately

Mechanical rekeying does not remove a badge, keypad code or app invitation. Coordinate those systems with the responsible administrator or vendor. Keep the final key schedule and issued-key log in a controlled place rather than in a public shared document.

Map the missing key before changing hardware

Identify the doors the unreturned key operated and whether it belonged to a larger master-key arrangement. Mark deliveries, cleaning access and opening or closing duties that must continue. Changing only the most visible entrance may leave another affected cylinder unchanged. Conversely, indiscriminate changes can interrupt staff who need access to unrelated areas. Give the locksmith the intended access outcome for each opening.

Run a controlled handover

Choose who accepts the new keys and who records their issue. Keep the new key list separate from old labels so staff do not confuse retired copies with working ones. Schedule digital credential changes with the person administering that system. Finish by testing affected openings and confirming how deliveries, emergency contacts and authorized out-of-hours staff will enter after the change.

Does deleting a staff access card disable their metal key?

No. Electronic credentials and mechanical keys are separate access routes. Include both in the staff-change checklist where the person held both.

Should I send a photograph of our key chart?

Share sensitive access records only through an agreed private channel with the authorized provider. Start with a door list and explain the key hierarchy without posting it publicly.
